Billing

Measured quantities turn into money. All of it sits in Billing — reached through the “Billing” action in the building list or at the top right in the view of a building, stairwell, floor or unit. Comparing planned against actual is described in the chapter “Bill of quantities”.

How billing is laid out

Billing is divided into sections from top to bottom; every button says in a second line what it does:

Section What it contains
Key figures “Net by take-off” — or “Net by target”, as long as nothing has been measured —, plus items, deviations, items without measurement and the tolerance.
Project settings “Over-measuring (VOB/C)”, “Decimal places for quantities” and “Contract”, each with the value currently in force. “change” opens a selection; without write permission only the value is shown. The settings apply to the comparison, new documents and exports; issued documents stay as they are.
Create documents “Quotations & invoices” (the document list) and “Submit measurement” (a GAEB X31 or REB DA11 file). Only here is something produced that goes out.
Edit items and take-off “Items & prices”, “Measurement sheets”, “Read in measurement” (only compares, takes over nothing) and “Create items from measurement”.
Items: target and actual The list with the “Deviations only” switch.

The sections scroll with the list.

Over-measurement under VOB/C

VOB/C lays down, trade by trade, whether an opening is deducted from the area or over-measured, that is, counted along with it. An example under DIN 18350 (plastering and stucco work): a wall of 4.00 × 2.50 m = 10.000 m² has a window of 1.20 × 1.40 m = 1.68 m². It is below 2.50 m² and is over-measured — billable are 10.000 m² instead of 8.320 m², at €30/m² €50.40 more per window. The threshold applies to each opening, not to the sum: three windows of 1.5 m² each are over-measured, one shop window of 4.5 m² is deducted.

The rule sits on the project

Under Project settings, “Over-measuring (VOB/C)” shows the rule in force. “change” opens the selection; there the rule in force is marked “currently in force”, and every rule names its source. The app shows the names of the rules in German, whatever language it is set to:

Rule Effect
“Ohne Übermessung (Voreinstellung)” — no over-measurement, the default Every opening is deducted.
“DIN 18350” — plastering and stucco work Openings up to 2.50 m² individual size are over-measured, larger ones deducted.
“Alles übermessen” — over-measure everything No opening is deducted.

Only what can be shown against a source is taken in; for all other trades the full deduction stands. A threshold of your own cannot be set.

The rule takes effect through the whole billing chain: planned/actual, quotation, invoice, XRechnung, GAEB X31 and REB DA11, table exports, PDF, Excel and the summary all calculate the same figure. It does not take effect while measuring: the measuring screen, wall group editor, room totals and room scan show the plain geometry; the item list shows the billable quantity below the measured one where the rule changes it. Saved documents keep their quantities.

The rule applies to the whole project and is synchronised with the cloud: on every device of the team, the same project calculates the same quantity. A look at “Over-measuring (VOB/C)” before every document is still worthwhile.

Quantities: two or three decimal places

How many decimal places a quantity carries is set on the project: under Project settings, “Decimal places for quantities” shows the choice in force; “change” opens the sheet with “2 places (12.35)” and “3 places (12.346)”. New projects start with the default from Settings › Length unit (chapter “Settings”); existing ones keep calculating with three places. The choice is synchronised with the cloud like the rule. The places apply to all quantities (m², m³, running metres, pieces) — in billing, on the document, in XRechnung and ZUGFeRD and in the exports:

  1. Every measurement line is rounded exactly once, commercially to the project's places. A measurement line is an item with its calculation, for a wall group each wall and each deducted cutout, for a building part the quantity.
  2. The quantity of a BoQ item is the sum of the rounded lines.
  3. The amount of a line is quantity × unit price, rounded to the cent.

The over-measurement rule takes effect before the rounding: it decides which opening gets a line at all. Measuring and saving is done unrounded — the quantity is rounded, never the dimension; lengths stay accurate to the millimetre.

GAEB X31 and REB DA11 always use three places, because GAEB carries no more for a quantity. With three places the document, the electronic invoice and the measurement file show the same figures. With two places the quantity in the measurement file can differ from the invoice by up to 0.005 per measurement line — for example 12.346 in the X31 and 12.35 on the invoice.

On new documents every quantity stands with the project's places. A whole count in the units St, Stk or psch stands without decimal places — “4 St” instead of “4.000 St” —, on the document including the “total”, “so far” and “new” columns, in the planned/actual comparison in Billing, in the comparison of an external measurement and on the planned/actual and deviation pages of the PDF report. This is only the display: the calculation uses the project's places, and XRechnung, GAEB X31 and REB DA11 write the quantity with its decimal places as before. An issued document keeps its places, even if the project is switched later; an invoice from a quotation, a correction and a cancellation take over the places of their source. Older documents are issued again by the app with their amounts and places as they were issued at the time; only a whole count stands without decimal places there too.

The contract

Under Project settings, “Contract” shows the contract type — at first “BGB works contract”, and once acceptance has been recorded with “accepted” and the date. “change” opens the “Contract” sheet. The contract type belongs to the project, is synchronised with the cloud and determines the suggested payment term and document type:

Type Payment term (suggested) Document type suggested
BGB works contract 14 days Invoice; after issued interim invoices (§ 632a BGB) the final invoice
VOB/B 21 days for an interim invoice, 30 days for a partial final or final invoice, 14 days otherwise Interim invoice; once acceptance has been recorded, the final invoice
Consumer construction contract (§ 650i BGB) 14 days Interim invoice; once acceptance has been recorded, the final invoice

VOB/B applies only where it has been agreed (§ 305 Abs. 2 BGB) — which is why the BGB works contract is the default. For a consumer construction contract, § 650m BGB caps interim payments at 90 % and requires 5 % security; the app names both in the sheet but does not check them and does not show the security.

The sheet also contains “Record acceptance today” — it sets today’s date (another cannot be chosen; undo via “Remove acceptance”). Only with acceptance does the app suggest the final invoice for VOB/B and the consumer construction contract; its button is always available, though.

Interim invoices always work on the cumulative total: every interim invoice shows everything performed and deducts the earlier ones. Switching to the increment no longer exists. If a project used to be set that way and interim invoices have already been issued, the app says so when “Quotations & invoices” is opened, with “Billing is now cumulative”; then read the next document through once.

Interim invoices in the BGB works contract

The BGB works contract has interim invoices too (§ 632a BGB) — through the “Interim invoice” button. Once interim invoices have been issued, the closing invoice becomes the final invoice: the app suggests it, also when converting a quotation, and the final invoice deducts the interim invoices. An ordinary “Invoice” never deducts anything. If you choose it all the same alongside issued interim invoices — for example for work outside the contract —, the dialogue shows a note about it and asks once more before issuing (see “Invoice” alongside issued interim invoices); the “Amounts” tab then offers no interim invoices to choose.

Prices

Through “Prices” — or with a tap on a row in billing — every BoQ item gets its unit price. From a tender or contract file, or a table with a price column, the prices are already there. “Without a price only” filters, the “Net total” stands at the bottom, and “Save” applies the entries. Clearing a field removes the price. Enter amounts without a thousands separator — 1250.00, not 1,250.00. A BoQ item without a price does not count as zero; the app states separately how many lack a price.

Next to it is the tax rate per BoQ item. An empty field (“Rate of the document”) means the rate of the document applies — not 0 %. A rate that cannot be read, a rate outside 0 to 100 and a price that cannot be read are discarded without a message; after saving, a second look at the list is worthwhile.

Quotation and invoice

“Quotations & invoices” opens the documents of the project. At the top are the number of quotations, “open with the customer” (quotations sent and accepted, net), “issued” and “still outstanding” (the amounts payable of the issued invoices not yet paid), both gross. Only issued and paid invoices are counted, no drafts; in a chain of interim invoices every piece of work counts once, and a corrected invoice counts through its correction. It remains an overview, not a list of open items. Below that is the section “Create a new document” with “Next step: …” and one button for each document type; the suggested one is highlighted and marked “recommended”. After an issued final invoice the app points to the correction. Each of these buttons first opens a draft — the document only comes into being with “Issue and share” in it. Below follows the list “Documents of this project”; the “Hide completed” switch shortens it.

Document type What for
Quotation Non-binding, with a validity period. Never as an electronic invoice.
Interim invoice Payment for work demonstrated — under VOB/B, § 632a BGB or § 650m BGB.
Partial final invoice Closes off an accepted section of the works (partial acceptance, § 12 Abs. 2 VOB/B — the app does not check this).
Final invoice Bills the whole contract and deducts all interim invoices. Only once per contract; the app does not prevent a second one.
Invoice Without a chain of interim invoices — the normal case with a private customer. Never deducts interim invoices.
Invoice correction Comes into being only through “Correct” on an issued invoice — or as a cancellation document through “Cancel invoice” (see “Cancelling”).

Which quantity is calculated

A quotation calculates all BoQ items with the planned quantity — except alternative items and provisional items without a total amount. An invoice calculates only measured BoQ items with the measured quantity. The basis stands in the “Amounts” tab under “Which quantity is billed?” (Planned or Actual) and never changes by itself. BoQ items that do not go onto the document — without a price, with a quantity of 0 or for the reasons named — are listed by the app before generating. Always start the document with the matching button: which BoQ items it contains depends on the button, not on the document type switched at the top of the dialogue.

The standard path

The dialogue has the tabs “Document” and “Amounts”. Pre-filled are:

The dialogue also lets you change the reference or Leitweg-ID, “Note text”, the quantity basis, “Discount on the total (net)”, the early-payment discount and the retention. Recipient, recipient type and § 13b are changed on the client under “Participants”.

There are two buttons at the bottom. “Preview” prints the document with the watermark “DRAFT” and saves nothing. “Issue and share” — for a quotation “Generate quotation” — commits the document, assigns its final number and issues it; after that it can neither be changed nor deleted, only corrected. If there is no client, if mandatory details such as the company details are missing, or if BoQ items drop out, the app says so beforehand under “Check before creating”; “Generate anyway” issues the document regardless.

Items with crossing edges on a BoQ item of the document are named in the same prompt: “The edges of these objects cross: …”. Such items still count with the calculated area, which is not the drawn one; so check the shape before issuing (chapter “Shapes and building parts”). For this the prompt also appears when nothing else is missing. The same sentence appears in the “Issue document?” prompt when a draft is issued from the document list. The warning requires the app to have loaded the project's quantities already; directly after opening it can still be missing.

Open interim invoices

When a document of the interim chain begins — interim, partial final or final invoice — and there are issued interim invoices that are not recorded as paid, the “Amounts” tab asks about each one under “Open interim invoices”:

The document is issued only once every question has been answered. Under “Progress per item” the same tab shows “total”, “so far” and “new” for each BoQ item; the document carries the same three columns.

“Invoice” alongside issued interim invoices

If the document type “Invoice” is selected in the dialogue while issued or paid interim invoices exist that are neither replaced nor cancelled, “Issue and share” asks first:

After an issued final invoice the app no longer asks.

Document numbers

An invoice number may exist only once (§ 14 Abs. 4 Nr. 4 UStG); gaps are allowed. The number in the dialogue is at first a suggestion — the app assigns the final one only when the document is issued. Below the field it says where the number comes from:

The note begins with Meaning
“From the reserved number block” With the cloud, the server reserves a block of numbers for a device at the sync, for owners and admins. No other device of the team gets this block, and the device assigns numbers from it even without a connection.
“No number block on this device” With the cloud, when there is no block at the moment, for example before the first sync. When issuing, the app first fetches numbers from the server; without a connection the document is not issued (see below).
“Provisional” Without the cloud. The app continues counting the documents of this device; the number is only guaranteed to be unique on this device.
“Entered by hand” The number in the field has been changed. Without the cloud the app only checks it against the documents on this device; if it is already in use there, it reports “Number already used” and issues nothing. With the cloud only owners and admins enter a number by hand, because only they see the documents of all the team’s projects; for the other roles the field is locked and the reason is shown below it — the app then assigns the number from a number block when the document is issued; if there is none, an owner or admin issues the document, because only they fetch a new block from the server. The server checks an owner’s or admin’s number when the document is issued — against the team’s documents, deleted ones included, and against the reserved blocks. This needs a connection; if the number is taken or cannot be checked, the app reports “Number not approved” with the reason and issues nothing.

With the cloud, nothing is issued without a number block. If there is no block, “Issue and share” first fetches numbers from the server. If that fails — no connection, not signed in, or a role that may not reserve numbers —, “No number block” appears with the reason:

A draft whose invoice date lies in a different year from the number drawn when it is issued — for example a draft created in December and issued in January — gets the date of issue; the payment term and the validity period move by the same interval.

The blocks never overlap. Without the cloud, a number is only guaranteed to be unique on this device.

Gaps arise on purpose: what a block does not assign stays free — for example after restoring a backup, which closes all open blocks of the device. Which numbers these are is shown under Settings › “Number blocks and gaps” (chapter “Settings”); that way every gap can be explained. After restoring a backup, tap “Sync now” once before the first document — until then there is no block.

Documents from an imported project carry the sender’s numbers and are marked as external. Your own numbering ignores them; an imported draft gets its own number when it is issued.

The recipient type decides nearly everything

On the client under “Participants” stands the “Type of client” — Private individual (also when not recorded), Business or Public sector client:

Consequence Private individual Business Public sector client
Record-keeping notice (§ 14b UStG) yes — —
§ 13b possible no yes yes
Recipient reference not applicable order or customer number Leitweg-ID — without it the invoice portal rejects the document
Output on issuing PDF PDF XRechnung

When no VAT is stated

In both cases there is no tax rate field; the rate is zero, and § 19 takes precedence over § 13b. An amount stated by mistake would be owed under § 14c UStG.

The fields that are easily got wrong

Only paid interim invoices reduce the amount payable — by their invoice amount, not by the payment received. So set an interim invoice to “paid” through “Status” once the payment has arrived; whatever was forgotten there is asked by the next document of the chain.

Issuing documents

A document goes out in the same movement in which it is issued — to a public sector client as XRechnung, otherwise as PDF; on phone and tablet through the share sheet, in the browser as a download. It is issued and saved in any case, even if sharing is cancelled; it then has the status “sent”. The preview always goes out as PDF with the watermark “DRAFT” and is neither saved nor issued.

Later, “Share” on the document issues an issued document again: “Share as PDF again” for every document (a complete invoice additionally carries its data embedded) or “Share as XRechnung again” for every invoice that is neither cancelled nor replaced, to a private individual too, with a verifiable quantity record (a cancellation document without it). On a draft, “Share” offers “Preview”, “Issue and share” and, for invoices, “Issue and share as XRechnung” instead. Checking happens on generating, not on sharing.

No promise of conformity for the XRechnung. Under “Issue and share as XRechnung” and “Share as XRechnung again” the sentence “Not certified, no promise of conformity: the XRechnung is produced from the standard to the best of our knowledge. …” is always shown — without an extra tap. In the invoice dialogue it appears below the Leitweg-ID for a public sector client, and also in the “Check before creating” prompt when it appears, and in the message after the XRechnung has been issued. The app does not promise that a receiving system or an invoice portal accepts the file; so check it before submitting.

The language of the document

Labels, numbers and dates on the document follow the document language, not the language set in the app: an issued document comes out the same way every time it is issued again. The invoice dialogue has “Document language” for this, with the five languages; it starts with the language set in the app. On a draft, “Share” › “Document language: …” changes it; once the document is issued it is fixed.

If a document’s language differs from the one set, its code appears next to the number in the document list (for example “· EN”). Messages from checking a document appear in the language set, because they are addressed to whoever is working on it.

The life of a document

A document from the dialogue comes into being issued and has the status “sent”. Drafts only arise when a quotation is converted, when an invoice is corrected and when an invoice is cancelled — and, with the cloud, through “Save as draft” when no number block could be fetched in the invoice dialogue (see “Document numbers”); they are issued through “Share” and only then get their final number — until then “provisional” stands next to it in the list. “Status” offers only the changes a document currently allows.

A quotation is accepted or declined; a declined one can be taken up again, and “converted into an invoice” is set only by the conversion. An invoice is set to paid through “Status”; it is cancelled through “Cancel invoice” (see “Cancelling”). “paid”, “cancelled” and “replaced” are final; “replaced” is set only by issuing the next document of the chain, “cancelled” only by issuing the cancellation document. A draft with a provisional number is not cancelled but deleted.

A quotation becomes an invoice

A quotation with the status “sent” or “accepted” becomes an invoice through “Convert into an invoice”. If there is a measurement, the app asks for “Quantities from the quotation” or “Measured quantities (actual)”; if no BoQ item then has a price, “Enter prices first” appears. The document type follows the suggestion (see “The contract”): if interim invoices have been issued, it becomes the final invoice, in the BGB works contract as well, and the app asks “has been paid” or “will be replaced” for each interim invoice not yet paid. The result is a draft, which is issued through “Share”. An interim invoice answered with “will be replaced” is set to “replaced” only once this draft has been issued. If the draft is deleted, the quotation can be converted again — it returns to “sent” or “accepted”. This applies to drafts created with this version of the app or later; deleting an older conversion draft leaves the quotation converted. If the deleted draft is restored from the recycle bin, the quotation nevertheless stays available. A draft from an imported project does not replace any interim invoice when it is issued; the interim invoice remains issued. Its quantities carry the decimal places of the quotation; a quotation from before this rule is rounded to three places. The quotation stays in place with “Invoice exists”.

Correcting instead of overwriting

Every invoice that is neither a draft nor cancelled and is not a cancellation document has “Correct”. The app asks “What is being changed?” and creates an invoice correction as a draft — with the number and date of the original invoice and this sentence, which is mandatory (§ 31 Abs. 5 Satz 2 UStDV): without it a second invoice would owe the tax twice (§ 14c Abs. 1 UStG). The correction gets its own number when it is issued. The original invoice stays untouched; it can be corrected more than once.

In the “Correct” dialog you can change the items (quantity, unit price, tax rate; add, remove or take all of them “From current measurement”), the recipient with address and USt-IdNr., the period of performance and the discount. If the items are left untouched, the correction calculates exactly like the original invoice. If the original invoice is recorded as paid, its payment amount appears under “Already paid on …”; the correction deducts it with net amount and tax and only claims the difference. The amount can be changed; leave it empty if nothing has been paid.

If the name or the USt-IdNr. changes, the app asks: “Same recipient, only spelling or address corrected” creates a correction; “A different recipient” creates a cancellation of the invoice and a new invoice to the new recipient, both as drafts. The original invoice is only “cancelled” once the cancellation is issued. If the invoice can no longer be cancelled — for example because a correction has already been issued — the app gives the reason. A mere change of address remains a correction.

If an invoice has been cancelled in the meantime, its correction draft can no longer be issued; the draft remains and can be deleted. The quantities carry the decimal places of the original invoice; an original invoice from before this rule is rounded to three places, and if it carried more places, the amount can differ by one cent in borderline cases.

Cancelling

An issued or paid invoice — including an interim, partial final or final invoice — carries “Cancel invoice”. A cancellation document is created as a draft: an invoice correction referring to the number and date of the original invoice, with all quantities and amounts of the original invoice with the opposite sign and the sentence “Cancellation of invoice … dated …” in the language of the original invoice. It gets its own number when it is issued through “Share”; only then does the original invoice become “cancelled”. If a cancellation draft already exists, the app offers it instead of creating a second one.

Editing and deleting

A saved document cannot be edited, not even a draft — a faulty draft is deleted and generated again. Only its language can still be changed on a draft, except on a cancellation or correction (see “The language of the document”). Only drafts can be deleted; they then stay in the recycle bin for 30 days (chapter “Projects and structure”). An issued document — a sent quotation as well — is subject to the duty to keep records (§ 147 AO): instead of deleting it, cancel it (“Cancel invoice”) or correct it. For the same reason a building with issued documents cannot be deleted.

Submitting the take-off

“Submit measurement” produces GAEB X31 or REB DA11 for the client. Beforehand, “Check before submitting” names BoQ items without a measurement (with the first five item numbers), the number of measurements without an assignment and BoQ items where unit and measured quantity do not fit together, plus building parts on BoQ items not billed per piece and items on a BoQ item whose edges cross (“The edges of these objects cross: …”). The sheet for choosing the format states permanently that there is no promise of conformity for X31 and DA11: the app does not promise that a billing or checking program accepts the file. “Submit anyway” remains possible; “Measurement created” names the missing BoQ items once more and, under “Notes on the file”, what the file states differently from planned/actual — at most five notes individually, the rest as a number. These notes appear in German. Limits of the formats: chapter “Exporting”.

Measurement sheets

A measurement sheet is the unit that is submitted and approved — across the structure. “Measurement sheets” shows the list and how many items are on no sheet; “New sheet” creates the next one. Each sheet counts items and BoQ items and warns with “… without a BoQ item”. “Assign open items” puts all items without a sheet onto a sheet with the status Draft. “Status” leads from Draft to Submitted and on to Approved or back to Draft. “Delete” is offered only on a draft and removes only the sheet, not the measurements.

With the approval, all items on the sheet count as done. Beforehand the app asks “Approve sheet?” and states how many items are affected; after that the sheet’s status can no longer be changed; additional quantities go onto a new sheet with “Copy to supplementary sheet” (below). In the item list, items that are done carry “✓ done”.

Locked items and supplementary sheets

As soon as a sheet has been submitted, its items are locked — until it is back to Draft, and for good once it is approved. In the item list a locked item shows a lock with the sheet number; tapping it opens it for viewing only, with values, quantities and “History”. Its actions are then limited to “View”, “History” and “Copy to supplementary sheet”; the item’s photo documentation cannot be reached from there. Measuring, renaming, editing the BoQ item field, assigning a BoQ item, moving it to another sheet and deleting are locked. A room, unit, floor, stairwell or the building cannot be deleted while a locked item lies in it, nor can a BoQ item that a locked item carries; the message says whether the sheet first has to go back to Draft via “Status” or, because it is approved, cannot go back at all. A locked sheet offers neither “Assign open items” nor “Delete”; “Create items from measurement” leaves locked items out.

“Copy to supplementary sheet” asks for the target: “New supplementary sheet” creates a sheet with the status Draft whose title reads “Supplement to sheet” followed by the number of the locked sheet; the existing drafts are listed below it. The copy lies in the same room and carries all dimensions and the same BoQ item; the original stays as it was submitted. The copy’s history starts afresh.

The copy is billed in addition. Planned/actual, the invoice and the exports count both original and copy, because no quantity calculation distinguishes sheets. Right after copying, the quantity is therefore there twice. Reduce the copy to the additional quantity; a lower quantity cannot be expressed this way.

Limits of the lock: it applies in this version of the app and in the interface for third-party programs. An older app version on another device can still change a locked item, and its state arrives through syncing. In this version “Undo” in the undo bar (and Ctrl+Z or Cmd+Z) and “Restore my state” under “Conflicts during sync” also check the lock and say why they write nothing back on a locked item. The same goes for restoring from the recycle bin: a deleted BoQ item that was linked to an item now lying on a submitted or approved sheet stays in the recycle bin until the sheet is a draft again; with an approved sheet it cannot come back. Sheets appear in no export.

Having documents signed

An approved measurement sheet and an issued document — any status except draft — can be signed, for example on site by the client or by the site management. For this, “Sign” appears below the card of the sheet or the document; drafts and submitted sheets do not have the button.

The “Sign” dialogue asks for Name (mandatory), Role and Place; today’s date is shown as the date, and the time is that of saving. You sign in the “Signature” field with a finger, pen or mouse; “Redraw” clears it. Below it, a note says that this is a simple electronic signature which does not replace an agreed written form. Stored are the strokes, name, role, place and time as well as a checksum of the signed state; with a team they go to the server and appear on the other devices.

Below the sheet or document, each signature then appears with name, role, time and place, plus one of three statements:

Readers see the signatures but do not add any. In a team, only owners and admins can have a document signed; the dialogue tells anyone else so.

In the PDF: the PDF of an issued document carries the section “Signatures” below the document in the language of the document — with the signature, name, role, place, “Signed on” and the checksum (SHA-256) — and has as an attachment the verification extract to which the checksum refers, together with a file holding its SHA-256 checksum. The preview with watermark carries no signatures. The project’s PDF reports, such as “Custom PDF …”, include every signed measurement sheet in a “Signatures” section, regardless of the selection in the tree, and likewise attach its verification extract. Whoever receives the PDF can use a common checksum tool to confirm that the attached verification extract matches the printed checksum.

Comparing an external measurement

“Read in measurement” › “Choose file” lays a measurement from the client or a checker (GAEB X31 or REB DA11) beside your own. Nothing is taken over; anyone who wants to adopt an external figure measures again. For each BoQ item, your own and the external quantity stand with the status matches, theirs higher, theirs lower, only in their file or not billed; at the top both totals and the filters All, Deviating and Theirs only. The external quantity of a BoQ item is the sum of its measurement lines, each rounded to three decimal places, as GAEB writes them. The app reports an unreadable file with the reason, in the browser too.

Several devices and the browser

Synchronised with the cloud are prices, tax rates, contract, acceptance, over-measurement rule, documents and measurement sheets including signatures, participants, along with the company details from Settings including “Small business (§ 19 UStG)” and, in a team, the logo — in a team, owners and admins maintain them (chapter “Settings”). Only on the device stay the number blocks, and without a team the logo too.

In the browser all details are kept in the browser’s storage and are back after a reload. Where the browser provides no storage, for example in a private window, only what the cloud synchronises comes back after a reload (chapter “Troubleshooting”). So check the company details before issuing a document from such a window — otherwise a small business shows VAT and owes it.

What each plan needs

On every plan: opening billing and planned/actual, setting the rule and the contract, viewing existing documents, changing their status (for example to “paid”) and deleting drafts. Pro covers “Prices”, “Create items from measurement”, generating, converting, correcting, cancelling and sharing documents, “Measurement sheets”, “Read in measurement” and “Submit measurement”; without Pro these buttons lead to the plan overview (chapter “Plans”).

In a team the role applies in addition: prices, tax rates and documents are changed only by owners and admins, and in the “Measuring” role they are not visible at all (chapter “Working together”).

What deliberately is not here
